What to look for in an outsourced call centre

The outsourced call centre market is enormous and mostly generic. Providers pitch seat counts, language coverage and cost per minute, which are useful metrics if your calls are interchangeable. For a transport or delivery business they are close to irrelevant, because the value of a call depends entirely on whether the person answering can act on it.

Specialisation beats scale

A large general provider handling insurance, retail and utilities alongside your fleet will train agents to a script and route your calls to whoever is free. That model is efficient, and it is why those agents never learn that your Tuesday morning airport run belongs to a client who books six months ahead and hates being asked to repeat the address.

A smaller specialist assigns the same team to your account and lets them build that knowledge. It costs slightly more per seat and is worth considerably more per call.

Continuity is a real question, not a formality

If you are outsourcing to any provider outside your own country, ask specifically about power and connectivity, and expect specifics rather than reassurance. Our answer is two layers of backup power — UPS then generator — and three independent broadband connections, because a call centre that cannot take calls is not a call centre.

Data protection

Transport businesses handle passenger names, addresses and travel patterns, which is sensitive data by any standard. The relevant controls are practical ones: whether agents work from a supervised office or from home, whether personal devices are permitted at workstations, and whether access is limited to the accounts each agent is assigned.

For UK and EU clients, your provider should be willing to sign a Data Processing Agreement without being asked twice.

We do inbound and support work. We are not a telemarketing or cold-calling operation.

Is there a minimum contract?

No. It is month to month with thirty days’ notice and no setup fee.

Most clients start with a narrow scope — after-hours only, or peak hours only — and widen once they have heard how the calls are handled.

How do you keep our data secure?

Every agent works from our supervised office. There is no remote working, so client data never sits on a home network or a personal laptop. The operations floor is under continuous CCTV, and access is limited to the accounts each agent is assigned.

For UK and EU clients we act as your data processor and will sign a Data Processing Agreement.

What happens if your power or internet goes down?

Can you handle overflow as well as after-hours?

It is a low-risk way to begin, because nothing changes for the calls your staff already handle.

How is this priced?

A flat monthly rate based on the hours covered and your volume. Never per minute and never per call, so a long or difficult call never costs you more than an easy one.
