Background

After-hours cover for transport businesses

Every business with a phone eventually faces the after-hours question, but transport faces it harder than most. Demand genuinely does not respect office hours: flights land at 5am, corporate travel plans change from other time zones, and the busiest hours for private hire are the ones when nobody wants to be rostered.

What makes it particularly costly is that after-hours calls skew toward high value. An overnight booking is rarely a short local job. It is an airport transfer, an account customer, or an urgent replacement for a supplier who let someone down — which is to say, exactly the work you most want to win.

Voicemail is not cover

The instinct is to let calls go to an answerphone and pick them up in the morning. In practice, most callers do not leave a message; they ring the next number on the search results. The ones who do leave a message have usually booked elsewhere by the time you call back.

Why a night rota rarely fixes it

  • One person is five shifts. A single night dispatcher leaves you with two nights a week uncovered before holidays are counted.
  • Night pay is a premium. Unsocial hours cost more per hour for less predictable work.
  • Attrition is high. Night dispatch has heavy turnover, and each departure puts you back to square one.

The timezone argument

This is where an offshore desk stops being a compromise and becomes a genuine advantage. Your overnight falls inside our working day, so your hardest hours are covered by a fully staffed team on a normal shift rather than by one person fighting to stay awake. For fleets in the US, UK, Canada, Australia and New Zealand, that is the whole argument in a sentence.

What counts as after-hours cover?

Whatever falls outside the hours you staff yourself. For most operators that means evenings from around 5pm or 6pm, overnight, weekends and public holidays.

You set the window. We pick up when your office closes and hand back when it opens.

Can you cover weekends and holidays too?

Yes, and holidays are often where it matters most. Public holidays combine reduced staffing with high demand, which is the worst possible pairing for a transport business.

Our operation runs 365 days a year, so cover does not lapse on Christmas Day or a bank holiday Monday.

Does this work as overflow during the day as well?

It can. A common setup is after-hours cover plus daytime overflow: your own team answers first, and anything not picked up within a set number of rings routes to us rather than to voicemail.

That way nothing changes for the calls your staff already handle.

How do calls reach you?

Usually a simple diversion on your existing phone system, set to activate at whatever time you choose. Nothing needs replacing and your number stays the same.

Your telephony provider can normally set a scheduled diversion in a few minutes. We will talk it through with you if it is not obvious.

What can your team actually do at 3am?

The same things your day desk does: take a booking and enter it into your system, move or cancel an existing job, assign or reassign a driver, check tracking and update a customer, and handle a complaint to your script.

The point of after-hours cover is that the work is finished by morning, not queued for it.

Why does your timezone help?

Our working day covers the evening and overnight hours for the US and UK, and the early hours for Australia and New Zealand. The shift you find hardest to fill is a normal daytime shift here.

That difference shows in the calls. A rested team on a day shift handles a 3am booking better than someone locally fighting to stay awake through a night rota.
